- Your full name, date of birth, gender, postal address, phone number, email address, dietary requirements, height and weight, travel insurance details, passport details, and passport scan. We may also ask for a medical record or doctor’s note.
- Any additional information you provide during the booking process to check if a trip is right for you. For example, if you have any pre-existing medical conditions, a disability, medication that requires refrigeration, etc.
Financial Information
If you pay online using a credit card, you will use our secure online booking platform. If you do this, your payment card information is not recorded or stored by Rugged Trails Nepal. PayPal is another safe, reliable way to book your trips with us online. In the case of a refund due to cancellation or unexpected events, Rugged Trails Nepal may need to have your bank details (i.e., routing number), which would be stored with us.
Booking a Trip
To carry out your booking request with the proper services, we collect the information you have provided. This information is used to reserve flights, transportation, accommodation, and other activities. Other contact details (i.e. email address) may be collected so that we can reach you in case there is an emergency or an update in your booking. Also, at certain points of transit on and off the trail, we may be required by law to present your passport/visa/permit scans.
In order to handle your enquiry or manage your booking, we may be required to share your personal information. Any information shared with the below entities is done in a secure way:
- Inside the Rugged Trails, Nepal (including group leaders)
- Travel & Service Providers (i.e. airlines, hotels, travel partners, etc.)

Photo and Video
When you are on a trek or tour with us, you may be featured in a photo or video taken by a member of our team or another participant in the trek. We assure you that any photo/video taken by Rugged Trails Nepal is taken is a professional manner, with permission from the individual. These photos/videos may be used for promotional content on our YouTube channel or website. If you do not wish to be in any photos or videos, please let our photographer or guide know.
